ChecklistTax season readiness checklist for accounting firms
Work through this list in the fall and early winter, before the filing season gets busy. If you cannot check something off, we can help.
Accounts & access
- MFA is on for email, tax software, IRS e-Services, client portals, remote access, and banking.
- Every login is unique and stored in a business password manager.
- Former employees and last season’s seasonal staff no longer have access to anything.
- Admin accounts are separate from everyday accounts.
Devices
- Every computer has current operating system and software updates.
- Drive encryption (BitLocker or FileVault) is on for every laptop and desktop.
- Anti-malware is installed, current, and monitored.
- Screens lock automatically after a few minutes.
- Lost or stolen devices can be located or wiped.
Data & backups
- Backups run automatically and include cloud data, not just local files.
- At least one backup copy is off-site and protected from ransomware.
- A test restore has been done recently, and it worked.
- Old client data is retained and disposed of according to a written policy.
Email & clients
- Clients have a secure portal or encrypted way to send documents.
- SPF, DKIM, and DMARC are set up for your domain.
- Staff have had a refresher on phishing, including fake “new client” emails.
- Clients are encouraged to get an IRS Identity Protection PIN.
Plans & people
- Your WISP is written, current, and names who is responsible.
- Your PTIN is renewed, and you can honestly check the WISP acknowledgment on Form W-12.
- Your team knows what to do and who to call if they suspect a breach.
- You know how to reach your IRS Stakeholder Liaison.
- Staff know the firm’s rules for AI tools and client data.
Office & network
- Firewall firmware is current, and default passwords are changed.
- Guest Wi-Fi is separate from the office network.
- Printers and scanners are updated, and scan-to-email works.
- Remote staff connect through a VPN or secure remote access.
Tip: PTINs expire December 31 each year, and the renewal season opens in the fall. Renewal is a good moment to review your WISP.
